Coaching Administrative Coordinator-this is a remote opportunity

Position Summary & key responsibilities

The Coordinator position is part of our Leadership & Professional Development consulting practice. The role will be primarily responsible for consultant and client support on the delivery of executive coaching engagements, enterprise coaching programs, and product support. The analyst works as a key support member helping to execute the coaching delivery process. In this role, the analyst will be interacting directly with clients while through scheduling, launching supplementary executive coaching products, progress tracking, and other requirements of the client engagement.

This role is part of our broader consulting support team, with a lot of room for growth in supporting the delivery of other solutions and larger more complex engagements.


Primary responsibilities

  • Systems Expertise
    • The Coordinator is the primary actor in our engagement management system – managing hours, financials, and billing
    • Timely and accurate management of engagement related data is a critical responsibility
  • Consultant Support
    • Assist consultants in the execution of the coaching delivery process, which may include some or all the below:
      • Managing complex calendars of many busy executive coaches and client executives
      • Tracking and follow up on coaching engagements
      • Partnering with our offshore products team to launch online assessments
      • Management of invoicing and client payment processes
      • General consultant support – setting up meetings, taking notes, and following up on action items
    • Customer Service
      • Professional and consultant-minded communication style with clients
      • Understand the contract and commitments and ensure
      • Ability to quickly understand and respond to client needs, follow through to ensure concerns or issues are resolved


EDUCATION, EXPERIENCE, & OTHER QUALIFICATIONS

  • A bachelor’s degree
  • Minimum of 1 year corporate setting experience preferred but will consider a recent college graduate that has been in leadership roles or had internships in a corporate environment-this is a junior level position
  • Aptitude for financial and mathematical concepts
  • Experience with SAP or other ERP systems a plus

  • Must be able to work with little supervision, be detail-oriented, flexible in terms of hours / responsibilities as work requires, and able to organize multiple priorities and work deadlines (in accordance with local employment laws).
  • High level of professionalism and ability to work with senior level executives.
  • Proficiency in MS Word, Excel, Outlook, and PowerPoint with the ability to learn challenging internal software programs.
