Position Summary

As a member of NDI’s Human Resources team, this role supports Human Resources operations by performing a variety of processes and administrative activities primarily for the department’s recruitment and employee/union relations functions.

Essential Accountabilities/Responsibilities
  • Provides support to the recruitment function including, but not limited to posting of all positions; completion of reference and other required background checks; preparation of offer letters and new hire packets/materials; development, coordination, and communication of orientation scheduling; processing and tracking new hire paperwork, ensuring all is completed as required; and maintenance of the applicant database to ensure all information is captured, accurate, and kept up-to-date.
  • Supports junior staff level recruitment by assisting the recruiter(s) with the review of resumes for entry-level and internship positions, the determination of a recruitment strategy, interviewing, and ensuring all necessary steps in the hiring process are conducted in accordance with NDI processes and policies, particularly those related to EEO and diversity.
  • Prepares and processes employment actions to execute and/or update employment records for new hires, transfers, promotions, demotions, salary changes, terminations, etc.
  • Provides a high level of customer service, responding in a timely and accurate manner to external parties, e.g. applicants and vendors, and employee requests, questions, and concerns, and directing those of greater complexity or need to the appropriate Human Resources staff members.
  • Assists with addressing and responding to employee concerns, problems, and grievances, supporting timely resolution and ensuring related information and required documentation is maintained and filed, as well as any related tracking.
  • Supports employee relations and engagement initiatives, assisting in developing and administering programs to build engagement, leverage organizational performance and capability, and reinforce a positive work culture for NDI employees, such as restructures, training programs, and performance management initiatives.
  • Ensures compliance with applicable employment laws, regulations, and internal NDI policies and assists with various reporting and audit requirements, including EEO-1 reports.
  • Learns and develops proficiency with the UltiPro HRIS functions, effectively using the system as necessary to perform assigned work and data maintenance/tracking, including serving as the backup for performing HRIS administration roles.
  • Supports the development and implementation of Human Resources projects, programs, processes, and policies.
  • Processes various HR invoices for payment and tracks expenses.
Peripheral Accountabilities/Responsibilities (Non-essential)
  • Provides support and back-up for staff portal content maintenance.
  • Serves as backup to the Human Resources Coordinator, as needed.
  • Conducts research, analysis, and prepares reports, as required.
  • Maintain a working knowledge of human resources trends and requirements in the marketplace.
  • Performs other duties as assigned.
Parameters
  • Incumbent operates under general supervision, receives direction on most processes and methods and is assigned most work.
  • Incumbent regularly interacts with staff at all levels within NDI.
  • Some interaction with external vendors is required when necessary to support the provision of information or clarify information necessary for human resources operations and administration activities.
Required Qualifications

Education
  • Bachelor's degree, or equivalent experience, preferably in a related field, i.e. human resources, industrial/labor relations, business administration.
Experience
  • Two years of relevant work experience in human resources. Previous experience in an international-focused organization is a plus.
Knowledge, Skills and Abilities (KSAs)
  • Working knowledge of human resources functions and procedures, familiarity with federal, state, and local employment laws, and a general knowledge of business operations.
  • High level interpersonal skills and cultural sensitivity to effectively interact effectively with individuals at all levels of the organization, as well as externally as part of recruitment processes and vendor relationships.
  • Strong oral and written communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
  • An attention-to-detail, with a propensity to complete work accurately and with a focus on quality.
  • Initiative, the ability to multi-task and prioritize; good time management, problem-solving, and organizational skills; and flexibility to adapt and respond to shifting priorities.
  • Capacity to work effectively both independently and as a member of a team.
  • Ability to maintain composure, apply discretion, and maintain confidential information
  • Proficiency in Microsoft Office skills to include Word, Excel and PowerPoint required; knowledge of Google Suite tools preferred. HRIS or database skills are highly desired, particularly experience with UltiPro.

  • This position generally is performed in an office environment and may be suitable for partial telework.

Comments

To comply with tax and legal obligations, all candidates for DC-based positions must reside in Maryland, DC or Virginia. While there may be flexibility for remote/hybrid work environments, candidates must be residents of MD, DC or VA or relocate prior to the start of employment at NDI.
